AI Lead Respond ("we," "us," "our") is a software-as-a-service platform operated at aileadrespond.com that provides AI-powered customer reply generation for automotive dealerships. This Privacy Policy applies to all information collected through our website, web application, browser extension, and related services (collectively, the "Service"). The Service is operated from the United States.
Account Information: When you create or are added to an account, we collect your name, username, email address, work phone, cell phone, dealership name, role (admin/manager/user), assigned store, and password (stored as a one-way bcrypt hash). For dealer groups, we also collect group-level billing contacts.
Customer Messages and Generated Content: When you generate replies, you submit customer messages and contextual information (customer name, vehicle details) for AI processing. We log metadata about each generation event (which user, mode, tone, character counts, timestamps, store) for billing and reporting. We do not persistently store customer message text or generated replies on our servers.
Saved Templates: Group-level and personal templates you create are stored on our servers so you can reuse them.
Lead and Demo Request Data: When you submit a sign-up or demo request, we collect the contact information you provide (name, email, phone, dealership, group size, current CRM, notes), source IP address, and timestamp, plus any subsequent CRM activity (status changes, notes, scheduled demo times).
Calendar Invite Data: When a demo is scheduled, we generate a calendar invitation (.ics file) containing the event date/time, your name, your email, and the meeting link. The invite is delivered via email.
Payment Information: Payment details (credit card numbers, billing address) are processed by our payment processor (Stripe, when integrated) and are not stored on our servers. We retain only billing history (amount, date, status).
Usage Data: We automatically collect technical information including IP address, browser type, device information, pages visited, login timestamps, and audit logs of administrative actions. This is used for security, abuse prevention, and product improvement.
Chrome Extension Data: See Section 4 below for details on what the Chrome extension collects and stores.

Our Chrome extension is an optional companion to the web application. It is subject to the same privacy practices as the web app, plus the following extension-specific items:
Local browser storage: The extension uses chrome.storage.local to store (a) your active login session so you do not have to sign in each time, and (b) the last 5 reply generations you made (subject, body, customer name, vehicle, tone, mode, timestamp). This data lives only on your device and is never transmitted to our servers separately. You can clear it at any time from the extension's interface.
"Auto-fill from page" feature on Gmail and Outlook: When — and only when — you click the "Auto-fill from page" button while viewing an email message in Gmail or Outlook on the web, the extension reads the sender's display name from the message header so you do not have to type it. The extension does not read message bodies, attachments, recipients, subject lines, conversation history, or any other email content. The detected name is populated into the customer-name field in the side panel and is only sent to our servers if you proceed to generate a reply.
Right-click "Generate reply": When you highlight text on any web page and choose "Generate reply with AI Lead Respond" from the right-click menu, the selected text is loaded into the extension's customer-message field. It is not transmitted anywhere until you click Generate.
What the extension does NOT collect: The extension does not track your browsing, does not log which pages you visit, does not read web content automatically, does not access cookies, and does not transmit any data to our servers other than the standard generation requests you initiate.
To deliver the Service we use the following sub-processors:

We use industry-standard security measures to protect your information, including encrypted connections (HTTPS), bcrypt-hashed password storage, role-based access control, secure database access, and audit logging of administrative actions. While no system is 100% secure, we work to maintain reasonable safeguards against unauthorized access.

AI Lead Respond is intended for business use by automotive dealerships and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us and we will delete it.
AI Lead Respond is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of personal information. AI Lead Respond does not sell personal information.
We use only essential session cookies and browser local storage (localStorage) necessary to authenticate users and maintain login sessions. We do not use third-party advertising cookies, tracking pixels, or behavioral profiling. The Chrome extension uses chrome.storage.local for the same purpose plus the recent-replies feature described in Section 4.
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision.
